BACKGROUND/RATIONALE:

 

Board Policy 163 (originally numbered 148) was adopted by the Board on July 13, 1988.  The policy requires staff to notify the Board of all meetings or hearings related to AC Transit which involve another publicly elected body, such as a city council, where the public is invited to attend.  The goal of the policy was to make Board members aware of meetings occurring within their respective wards.  Please see Attachments 1 and 2 which provide historical reference information concerning the creation of this policy.

 

It is clear that this policy pre-dates the internet and other modern technologies that allow Board members and members of the public to easily subscribe to meeting notifications.  In addition, staff regularly produces a master calendar that is forwarded to the Board which provides a summary of meetings and events.  With respect to the issue of distributing correspondence, all correspondence received by the District Secretary’s Office is distributed to the Board via regular business process and does not rise to the level of a policy matter. Given modern advancements and the convenience of receiving meeting notifications electronically, staff believes this policy is no longer relevant and recommends repeal.

Other than purging an old policy that is no longer relevant, there are no advantages or disadvantages associated with this report.
