The annual reports will help to provide assurance to the Board that all Tempo Platform video requests fulfilled were made in accordance with their intended and authorized use as defined in Board Policy 411.

 

BUDGETARY/FISCAL IMPACT:

 

There is no budgetary or fiscal impact associated with this recommended action.

 

BACKGROUND/RATIONALE:

 

Board Policy 411 - Tempo Platform Camera Use, requires the District to maintain a log of all video requests.  The policy also requires that an annual report identifies the types of data requests received and responded to, and the intended use.

 

The Tempo platform camera system was installed in August 2020. An internal audit conducted in August 2023 reported that a log of all video requests had been maintained since that time, but the annual reports, required by Board policy, had not been submitted.

 

There was a follow-up internal audit of all (62) video requests made from August 2023 to August 2024.  The results of that audit showed that the annual reports were now being produced and the Legal Department approvals for the requests were properly obtained.  It was also noted that all video requests made were for authorized purposes, as defined in Board Policy, and all outside law enforcement requests contained proper court orders.  Copies of the audit reports are attached to this staff report.

 

ADVANTAGES/DISADVANTAGES:

 

Advantages - producing the annual reports will satisfy requirements set in Board Policy and also provide the Board with a summary of Tempo platform video requests made and their intended use.  There are no disadvantages to providing this annual report.
