SUBJECT: Certified Air Conditioning Inspections on District Buses

RECOMMENDED ACTION(S):
Title
Consider authorizing the General Manager to exercise a one-year contract option with TK Services for certified air conditioning inspections on District buses.

BUDGETARY/FISCAL IMPACT:
The total estimated cost for this one-year option is $469,765.00. The funding for the certified air conditioning services is included in the FY 2018-19 Operations Department budget.
BACKGROUND/RATIONALE:
The current certified air conditioning inspections on District buses will expire on February 28, 2019. The contract term is for a three-year base period and three (3) one-year options. Based on the high level of service and support provided during the past five years, staff recommends that the last option be exercised to continue certified air conditioning inspections on District buses.
ADVANTAGES/DISADVANTAGES:
The advantage of having certified air conditioning inspections on District buses is that the selected contractor will have the equipment, certified personnel and experience in inspecting, servicing and maintaining the various air conditioning systems used on District buses. There are no known disadvantages to having a certified air conditioning inspection contract.
ALTERNATIVES ANALYSIS:
There are no cost effective alternatives to issuing a contract for the certified air conditioning inspections on District buses. The alternative would be in-house maintenance repairs of the air conditioning systems; however, this is not recommended due to the liability and certification requirements. If the one-year option for this contract is not approved, the District would then need to go out to bid to solicit for certified air conditioning inspections on District buses and possibly risk the cost of the new contract which may be higher.
